We worked closely with a UK government department to define a new business design so it could become more efficient, responsive and customer focused. Our strategy and business design experts worked with the organisation over four months. Our proposals included optimising the use of data and increasing automation.
The challenge
A UK government department wanted to transform the way it worked to deliver more efficient and customer-focused services. But to do that, it realised its existing systems and processes would also have to change. The department's IT infrastructure was nearing the end of its life and wouldn't enable the organisation to meet future demand. Its core business processes would also need to be reimagined if it wanted to stay a step ahead.

The solution
We worked closely with the organisation to simplify and re-design its systems and business processes. That included:
- Reducing inefficiency and improving effectiveness: we worked together to remove inefficiency and identify more effective ways of carrying out the department's core functions. As part of this, we looked for innovative and technology-led solutions to the challenges it faced, including more automation.
- Developing data models: we needed to know what data would be required to enable the organisation to be more effective and meet its goals.
- Understanding the customer journey: we looked in detail at what customers needed, and wanted, and how that could be addressed from the outset.
Our work was broken down into two phases. First, we focused on developing ideas and ensuring our proposed design was built on solid foundations. And second, our ideas were rationalised through more detailed thinking and developed into proposed products.

This was a complex project that required a detailed understanding of the systems and processes that were adding value to the organisation, and what needed to change. We worked side-by-side with our client throughout the design phase and our combined expertise enabled us to identify the best solution.

The results
We drew on our expertise of working with a diverse range of clients and guided the department through the re-design over four months. Together, we were able to lay the foundations for the department's wider transformation and help to ensure it's fit for the future. Specifically, our proposals were expected to:
- Reduce costs through the removal or automation of key processes.
- Generate further efficiencies by creating more responsive and integrated tools and systems.
- Build confidence in decision making by ensuring better and more easily accessible data would be available up-front.
- Reduce the time taken to resolve customer cases.
- Improve staff retention by automating administrative tasks and creating more engaging and varied work.
- Meet accessibility requirements.
We were also appointed to support the detailed design and development of data maps and models and carry out a market appraisal of data-led solutions to enable the organisation to deliver a better service.
